Job Summary
This position requires a range of soft and hard skills, including ideally an experience in office management. The goal is to ensure the undisturbed performance of the Emplifi office in Prague and administrative support to our teams globally, enabling our employees to work in an environment that is corresponding with all legal requirements, as well as providing comfort and enjoyable working conditions.
This role would require frequent presence in Prague office, but allows occasional working from home office.
What You’ll Do Here
Office Support
- Ensuring smooth and efficient operation of the Prague office & solving daily operational issues
- Internal communication with employees
- Management of orders & deliveries, stock management; communication with suppliers
- Travel booking (via travel agency) & calendar management (Prague office space)
- Events management (mainly internal company events)
- Point of contact for communication with the building management
- Support of the HR team with tasks related to staff onboarding and offboarding, language courses etc.; Support of the Finance team with the creation of purchase orders and invoice processing
- Assisting with planning and coordination of facilities projects related to refurbishment, repairs and maintenance
- Maintenance of an office budget
- Ensuring the office's adherence to a variety policies and procedures, including Health & Safety requirements
Front Desk Duties
- Front desk duties in cooperation with the Office Manager for the Czech Republic; the desk opening hours are Mon – Fri 8:00-17:00
- Serving as the first point of contact for our employees, clients, external guests and candidates
- Incoming/outgoing post & call management
What You’ll Bring to Us
- At least 1 year of experience in a similar field (office or administrative assistant, HR, travel management, operations ...)
- Fluent Czech and English are required
- Working knowledge of MS Office (Excel, PowerPoint,..) and G Suite
- Pro-client approach, good communication, organisational & time management skills
- Good problem solving skills
- Attention to detail, diligence
- Punctuality
