Job Summary

This position requires range of soft and hard skills, including an experience in administration and office management. The Office Manager manages and provides guidance for the undisturbed performance of the company's CZ based offices (Prague, Brno and Pilsen) and provides administrative support to our teams globally to enable our employees to work in an environment that is both corresponding with all legal requirements as well as provides comfort and enjoyable working conditions.

This role would require frequent presence in Prague office, but allows occasional working from home office.

 

 

What You’ll Do Here

Office & Facilities Support

  • Ensure the smooth and efficient running of the Prague, Pilsen and Brno office premises, including basic daily office operations, maintenance issues and other ad-hoc inquiries
  • Maintain effective services and constantly improve workflows for even higher productivity
  • Plan and coordinate projects related to renovation, repair and maintenance, furniture, equipment relocation and physical appearance plans, budget and schedule  office changes and improvements
  • Maintain accuracy of documents and deadlines of departmental contracts, policies and procedures and oversee document retention policy
  • Coordinate and oversee the work of outside vendors, business partners and contractors
  • Identify areas of concern and develop plans to resolve them
  • Responsible for Health & Safety requirements and business continuity planning

Front Desk Management

  • Ensure sustained high performance in providing an excellent service
  • Identify areas of concern and develop plans to resolve them
  • Handling internal and external communication related to the office management in the Czech Republic and globally while utilizing multiple communication channels available
  • Organization of travel arrangements of specific groups in cooperation with Travel Agencies

 

Events

  • Helping with the preparation and organization of company events, both internal and external
  • Handling events individually as well as working in close cooperation with HR and Event team as well as respective stakeholders to ensure successful event outcomes and experience of the participants

Onboarding and Offboarding

  • Support HR team & IT team with specific processes and tasks related to the onboarding and offboarding of staff

 

What You’ll Bring to Us

  • 2+ years of experience in similar position in administration or office management role or similar  
  • Fluent English (daily communication) and fluent Czech is a must, any other language as an advantage
  • Experience with training, assigning work and managing the performance of staff 
  • General understanding of budgeting and accounting principles is an advantage
  • Great organizational and time management skills
  • Excellent Client Focus approach
  • Reliable with attention to detail
  • Good project management skills
  • Problem solving and analytical approach
  • Able to work under pressure and maintain situations under control
  • Great communication skills both oral and in writing
  • Ability to find opportunities for improvements and prepare plans to address them
